Returns & Refunds Policy
We want you to be satisfied with what you buy from us. This page explains when you can send something back, how to do it, and what happens next. It forms part of our Terms & Conditions.
Every return starts the same way: email Operations@dedicated7.io with your order number and what is wrong, and we will issue an RMA number and return instructions.
Please do not send anything back before you have an RMA number — we may not be able to identify or process it.
1. The short version
| Situation | What you get | Who pays return carriage |
|---|---|---|
| Consumer changing their mind | Full refund, within 14 days of cancelling | You |
| Faulty on arrival | Replacement or full refund, including delivery paid | Us |
| Wrong item sent | Correct item or full refund | Us |
| Fails within the warranty period | Repair or replacement | Us |
| Business buyer changing their mind | At our discretion — see below | You |
2. If you are a consumer
If you are buying as an individual rather than for a business, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 give you the right to cancel without giving a reason.
- You have 14 days from the day you receive the goods to tell us you are cancelling.
- You then have a further 14 days to send the goods back.
- We refund within 14 days of receiving the goods back, or of you showing evidence that you sent them, whichever is earlier.
To cancel, email Operations@dedicated7.io with your order number and a clear statement that you are cancelling. A phone call to 01242 382625 also works, but please follow it up in writing so there is a record.
We refund the price of the goods plus the standard delivery cost we charged you. If you chose a more expensive delivery option than our standard service, we refund the standard cost only. You pay the cost of returning the goods.
You may handle the goods as you would in a shop — enough to check the nature, characteristics and function of the item. If they are handled beyond that and their value is reduced as a result, we may deduct the reduction from your refund.
Nothing on this page affects your statutory rights, including your rights under the Consumer Rights Act 2015 in respect of goods that are not of satisfactory quality, fit for purpose or as described.
3. If you are buying for a business
The statutory 14-day cancellation right above applies to consumers, not to business purchases. Your rights on faulty, incorrect or warranty-covered goods are unaffected and are set out below.
Where a business buyer simply no longer needs an item, we will consider a return case by case. Any such return is at our discretion and, if agreed, is subject to the goods being unused, complete and in their original packaging, to return carriage being paid by you, and to a restocking deduction that we will tell you about before you send anything back.
4. Faulty or incorrect goods
Please check your delivery on arrival. Tell us as soon as possible if:
- the item is damaged in transit — within three working days of delivery, so we can pursue the carrier;
- the item does not power on or is faulty out of the box;
- the item is not what you ordered, or the configuration does not match the listing; or
- part of the order is missing.
Where goods are faulty on arrival, incorrect or incomplete, we cover return carriage and will send a replacement or a full refund including the delivery you paid. We may ask for photographs or diagnostic output first — it is often quicker than shipping the unit back.
Remember that these are refurbished units. Light cosmetic marks consistent with previous data-centre use are normal and are not a fault.
5. Warranty claims
Unless the listing says otherwise, hardware bought through this website carries a three-year hardware replacement warranty from delivery. Under it we will, at our option, repair or replace a failed item with an equivalent unit, or refund what you paid for it where no equivalent is available.
Warranty claims follow the same RMA process as any other return. We cover carriage both ways on a valid warranty claim.
Full warranty terms and exclusions are in section 8 of the Terms & Conditions.
6. How to start a return
- Email Operations@dedicated7.io. Include your order number, the part number or serial number, and a description of the problem.
- We will respond with an RMA number, the return address and, where we are covering carriage, a label or collection booking.
- Send the goods back, marking the RMA number clearly on the outside of the packaging.
- We inspect and test the returned item on arrival and confirm the outcome by email.
7. Packing and sending it back
- Use the original packaging where you still have it. Enterprise hardware is easily damaged in transit without it.
- Include everything that came with the item — rails, caddies, drives, adapters, cables and bezels.
- Use anti-static packaging for components such as processors, memory and adapters.
- Until we receive the goods they remain your responsibility. Where you are paying for return carriage, we recommend a tracked and insured service — proof of postage is not proof of delivery.
8. Refunds
Refunds are made to the original payment method. We do not refund to a different card or account.
Refunds are processed once we have received and inspected the goods, except where a consumer has provided evidence of return, in which case the statutory timescale above applies. Your bank may take a few further working days to show the credit.
Where a refund is made in a currency other than the one in which payment was taken, the amount you receive may differ slightly because of the exchange rate applied by your card issuer. That difference is between you and them.
9. Data on returned equipment
Please remove or securely erase any data from equipment before returning it. We cannot guarantee the state of data on returned units and we are not responsible for data left on them. Backing up your data is your responsibility.
10. What is not covered
- Cosmetic wear that does not affect function.
- Accidental damage, misuse, or use outside the manufacturer’s stated operating conditions.
- Damage caused by unauthorised repair, modification or firmware alteration.
- Software, operating systems, licences, data, and the cost of reinstating any of them.
- Fault-finding time, on-site attendance, installation, or consequential losses such as downtime.
- Items returned incomplete, or without an RMA number.
